Privacy Policy

This Privacy Policy explains how Ekron collects, uses and protects your personal information when you contact us, instruct us, or use this website. We take the confidentiality of client information seriously and handle it in line with UK data protection law.

Who we are

Ekron is a firm of chartered building surveyors, regulated by RICS. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Ekron is the data controller for the personal information described in this policy.

Company No. 14880489. Registered office: Bramber Court, 2 Bramber Road, London W14 9PW. If you have any questions about this policy or your data, contact us at info@ekron.co.uk or on 020 3951 1032.

The information we collect

Depending on how you interact with us, we may collect:

  • Contact details — your name, email address, postal address and telephone number.
  • Property and instruction details — the address and details of the property concerned, the nature of your enquiry or instruction, and any documents you provide (for example plans, leases, party wall notices or correspondence).
  • Correspondence — records of our communications with you by email, telephone, letter or through this website.
  • Payment and billing information — the details needed to invoice you and record payment. We do not store full card details.
  • Website usage data — with your consent, anonymous analytics about how this site is used. See our Cookie Policy for detail.

How we collect it

We collect information directly from you when you contact us or instruct us, and sometimes from third parties acting on your behalf or connected to a matter — for example estate agents, solicitors, managing agents, adjoining owners or their surveyors.

Who we share it with

We treat your information as confidential and never sell it. We may share it, only so far as necessary, with:

  • Associates, consultants or subcontractors we engage to help deliver your instruction;
  • Your other professional advisers where you have asked us to liaise with them (for example solicitors or architects);
  • Other parties to a matter where required — for example, in a party wall matter, the appointed surveyors and the owners involved;
  • Our professional advisers, insurers and regulator (RICS) where reasonably required;
  • Trusted IT and service providers who process data on our behalf under appropriate safeguards.

Storage and international transfers

Your information is stored on systems within the UK or the European Economic Area wherever possible. Where a service provider (such as our analytics provider) transfers data outside the UK, we rely on the safeguards those providers put in place, such as approved contractual clauses.

How long we keep it

We keep client and project records for as long as needed to provide our services and thereafter for the period required to meet our legal, regulatory and professional-indemnity obligations. For surveying work this is typically up to fifteen years, reflecting the limitation periods that can apply to professional advice. Enquiry information that does not lead to an instruction is kept for a shorter period.

Your rights

Under UK data protection law you have the right to access the personal information we hold about you, to ask us to correct or erase it, to restrict or object to our use of it, to data portability, and to withdraw any consent you have given. To exercise any of these rights, contact us at info@ekron.co.uk.

If you are unhappy with how we have handled your information, you can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We would ask that you give us the opportunity to resolve your concern first.

Cookies

This website uses a minimal set of cookies. You control which are set through our consent banner, and you can change your choice at any time using the “Cookie settings” link in the footer. Full detail is in our Cookie Policy.

Changes to this policy

We may update this Privacy Policy from time to time. The current version is always published on this page.
